Privacy Policy

OKGN Bookkeeping Inc. (“OKGN Books,” “we,” “us”) provides bookkeeping services to small businesses in the Okanagan and across British Columbia. This policy explains what personal information we collect through okgnbooks.com, why we collect it, and how we handle it. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA).
What we collect
When you submit our contact form, we collect the information you provide: your name, city or area, email address, phone number, what you’re interested in, and any message you include. We also record the date, time, and text of the consent you give us. Our hosting infrastructure keeps standard technical logs (such as IP addresses and request times) for security and reliability.
Why we collect it
We use your contact details to respond to your inquiry, provide quotes and services you request, and — only with your consent — send you messages related to your inquiry or engagement, such as appointment details. We do not sell or rent your personal information, and we do not send marketing messages without consent you can withdraw at any time.
Where it’s stored
Form submissions are stored on Google Cloud infrastructure located in Canada (Montréal region). Access is limited to the people and systems that need it to respond to you and operate the business.
How long we keep it
Inquiry details are kept while we correspond with you and for a reasonable period afterward. If you become a client, information is retained as part of the client relationship and as required by law (for example, tax and accounting record-keeping requirements). You may ask us to delete inquiry information that we are not legally required to keep.
Who we share it with
We share personal information only with service providers that help us operate (such as our hosting provider, Google Cloud), and where required by law. Service providers are bound to protect your information and use it only to provide services to us.
Your choices and rights
You may withdraw consent to be contacted at any time, and you may request access to or correction of the personal information we hold about you. To do either, email hello@okgnbooks.com. We will respond within the timelines required by applicable law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Changes to this policy
If we change this policy, we will post the updated version here with a new effective date.
